Zapier x BW: A Virtual Event Case Study

As an event professional, sometimes you’re looking to do more for your users than a registration platform will provide out of the box. The Problem

Zapier’s annual virtual event, ZapConnect, has been a staple for automation enthusiasts since its inception four years ago. This year, Zapier aimed to elevate the event’s attendee experience, focusing on creating a cohesive virtual hub and diversifying networking opportunities. Using feedback from previous years, Zapier had a pretty good idea of where they wanted to see changes made on their virtual event. However the small events team meant that Zapier needed a dependable partner who were technical experts in the Accelevents platform. So Zapier brought in the BW Events Tech to manage feature requests, implement a custom platform design and track the tech timeline. 

The Solution

For a virtual event featuring 5 diverse content tracks, 7 live streamed sessions and 20+ simulive sessions, balancing organization and innovation is no small matter. To improve the attendee experience at ZapConnect, the BW Events Tech team got right to work liaising with the Accelevents team to make the desired feature requests a reality and and ensure timely delivery. 

First, for the Unified Main Agenda, BW Events Tech worked directly with Accelevents to broaden the scope of traditional agenda functionality. By programming the left navigation “Sessions” tab into a unified main agenda, all sessions—including networking, keynotes, and tracks—into one cohesive view, were brought together thereby improving usability for attendees. The BW team communicated closely with the Accelevents team to make sure the build progress and timeline were aligned with the overall event tech timeline. 

Second, taking Zapier’s feedback that virtual networking could be improved, BW Events Tech partnered with Accelevents to create and implement customized virtual lounges, centralizing connections and fostering engagement.

The Takeaway

ZapConnect shattered expectations, attracting nearly 12,000 attendees—a 30% increase compared to 2023. ZapConnect’s content even remained available for 30 days post-event, extending engagement opportunities. Leveraging the expertise of the BW Events Tech team, Zapier was able to make the improvements and augmentations they needed to the Accelevents platform and ensure ZapConnect 2024 was its best edition yet.
